Privacy Policy

Trackent is a rent and property management mobile app. This policy explains what information we collect, how we use it, and your choices — including how to delete your account.
1. Introduction
This Privacy Policy describes how Trackent("we", "us", or "our") handles information when you use the Trackent mobile application and related services. By using the app, you agree to the practices described here.
2. Information we collect
Account information
When you register or use your profile, we collect:
- Email address
- Name
- Password (stored in hashed form — we never store plain-text passwords)
- Role (landlord or tenant)
- Phone number (optional)
- Address (optional)
- Profile image (optional)
Rental and property data
To provide the service, we store data you create in the app:
- Houses and property addresses
- Rooms, rent rates, and occupancy status
- Bills, usage breakdowns, and payment status
- House rules
- Tenant–landlord link requests and connection records
- Account notices related to linking and deletion
Device and analytics data
We use Firebase Analytics and Firebase Crashlytics to understand app usage and improve stability. This may include screen views, app version, device type, and crash reports. Analytics is only collected when the native Firebase modules are available on your device.
Camera access
The app requests camera permission solely to scan QR codes for tenant–landlord linking. We do not store photos or video from your camera.
3. How we use your information
We use collected information to:
- Provide and maintain the rent management service
- Authenticate your account and manage sessions
- Create, display, and manage bills, rooms, and tenant links
- Send in-app notices about link requests, payments, and account changes
- Improve app performance and fix crashes
- Comply with legal obligations
We do not sell your personal information to third parties.
4. Data sharing
We may share data with service providers who help us operate the app:
- Hosting and Infrastructure: We only share data with our hosting and infrastructure providers so they can run and secure our services. They are contractually required to keep your data confidential.
- Firebase (Google): Analytics and crash reporting.
Landlords and linked tenants can see rental data relevant to their relationship (e.g., bills, room assignments) as part of the normal operation of the app.
5. Data retention
We retain your account and rental data for as long as your account is active. When you delete your account:
- Tenants: You are removed from rooms, link requests and bills are deleted, and your landlord is notified.
- Landlords: Houses, rooms, bills, rules, and tenant links are permanently deleted; affected tenants are notified and unlinked.
- A minimal deletion archive is kept containing your email, name, role, and phone (if provided) for compliance and abuse-prevention purposes. This archive does not include your password or rental records.
6. Your rights
Depending on your location, you may have the right to:
- Access the personal data we hold about you
- Correct inaccurate profile information in the app
- Delete your account and associated rental data
- Withdraw consent where processing is based on consent

7. Account deletion
You can delete your account from the More tab in the app. If your account is not linked to other users, deletion is immediate. If you are a landlord with linked tenants, or a tenant linked to a landlord, deletion requires approval from the linked party. Pending requests are shown on your dashboard.
8. Security
We use industry-standard measures to protect your data, including HTTPS for all API communication, hashed passwords, and secure token storage on your device (Expo Secure Store). No method of transmission or storage is 100% secure, but we work to safeguard your information.
9. Children's privacy
Trackent is not directed at children under 13. We do not knowingly collect personal information from children. If you believe a child has provided us data, contact us and we will delete it.
10. Changes to this policy
We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated effective date. Continued use of the app after changes constitutes acceptance of the revised policy.
